Resignation Email Templates for Six Situations

1. The standard notice
Your manager, after a conversation, most of the time.
Subject: Resignation, Nadia Farouk
Dear Bruno,
Following our conversation this morning, I am writing to confirm my resignation from my role as Logistics Coordinator. My last working day will be Thursday 25 June.
I will document the carrier contacts and the weekly reconciliation before then, and I am happy to brief whoever picks them up.
Thank you for the opportunity to work here.

Change: the opening clause. “Following our conversation this morning” is what makes the email documentation rather than news, and it only works if the conversation happened.
2. To HR, as the formal record
Where the handbook asks for notice in writing to HR as well as to your manager.
Subject: Resignation notice, Nadia Farouk, Logistics Coordinator
Dear HR team,
I am writing to give formal notice of my resignation from my role as Logistics Coordinator. My last working day will be Thursday 25 June. My manager, Bruno Salvatierra, is aware and we have agreed the handover.
Could you confirm the process for final pay, accrued leave and the return of equipment.

Change: nothing except the names, and resist the urge to add anything. One sentence confirming your manager knows is what stops HR opening a conversation you have already had.
3. Remote, with no call possible
The situation the standard templates handle worst. The risk is that a cold email reads as avoidance.

Dear Bruno,
I asked for fifteen minutes on Monday and again yesterday and I know the week has been full, so rather than delay this any further I am confirming it in writing: I am resigning from my role as Logistics Coordinator, and my last working day will be Thursday 25 June.
I would still like to talk it through. I am free at any point tomorrow, or earlier if that suits.
In the meantime I will start documenting the carrier contacts and the weekly reconciliation.

Change: the attempts. Name them factually and briefly, without a note of complaint. The offer of a call at short notice does the real work here.
4. During probation
Shorter notice, usually contractual, and no explanation owed. Notice in at-will employment is a matter of your agreement rather than statute, as the Legal Information Institute describes, so check what your probation clause actually says before you name a date.

Dear Bruno,
I am writing to give notice of my resignation from my role as Logistics Coordinator, within my probationary period. In line with my contract my last working day will be Friday 12 June.
I am glad to hand back the equipment and write up what I have picked up so far, if that is useful.

Change: the notice length, taken from the probation clause rather than the two-week default.
5. A fixed-term contract you are not renewing
Not strictly a resignation, and using resignation language creates confusion in the file.
Subject: Contract end date, Nadia Farouk
Dear Bruno,
My current contract runs to Tuesday 30 June and I am writing to confirm that I will not be seeking an extension, so that date will be my last working day.
I will make sure the handover pack is complete a week beforehand, and I am happy to be a point of contact for questions for a short period afterwards.

Change: the subject line, deliberately. This is a notification about an end date, not a resignation, and labelling it correctly saves an HR correction later.
6. While on leave
Parental, medical or extended leave. The temptation is to explain, and the reason is nobody’s business.

Dear Bruno,
I am writing to give notice of my resignation from my role as Logistics Coordinator. My last working day will be Friday 31 July.
I appreciate this arrives while I am on leave. I am glad to answer handover questions by email, and I will keep this address in use until the end of the month.

Change: the date. Confirm with HR whether your notice runs during leave or from your return, because the two produce different last days and different final pay.
Before you press send
Check the recipient, since autocomplete has ruined this exact email for people before. Then check the date against a calendar.
If your mail client offers an undo window, know how long yours is: Gmail lets you set the cancellation period to 5, 10, 20 or 30 seconds in its documentation on sending and unsending messages. That is your only real safety net, and it is short.

Common questions
Can I resign by email instead of a letter?
For most private-sector roles, yes, and the email is then the record. Check your handbook, since some employers and most public-sector processes ask for a signed letter as well.
Do I send the resignation email to my manager or to HR?
Your manager as the recipient. Copy HR only if your handbook says so, and send a separate note to HR if you have questions about final pay rather than raising them in the notice itself.
How do I resign by email if I cannot get a call with my manager?
Say in the email that you tried to arrange a conversation first, name the attempts briefly, and offer a call at short notice. That single line prevents the email reading as avoidance.
Should I resign by email while I am on leave?
You can, and sometimes it is the only practical option. Keep it shorter than usual, do not explain the leave, and state your last working day as a date rather than as a number of weeks after you return.
