Why applications go cold

Most searches lose momentum in the gap between applying and hearing back. Not because people give up, but because they lose track of what is outstanding and when a follow-up was due.

A job application tracker is worth having for one reason: it tells you what to do today. Everything else it records is secondary to that single column.

The follow-up dates that matter

Fixed rules remove the daily judgement about whether it is too soon to chase:

• Ten working days after applying, no acknowledgement. One short follow-up, or close it.
• Same day or next after any interview. The thank-you note, referencing something specific.
• On the decision date they gave you. If they named a day and it passed, ask.
• One week after that. A second, shorter chase. Then stop.

Two chases is the ceiling

A third follow-up does not produce a decision. It produces avoidance, and it costs you the goodwill that might have mattered when the next role opened.

The exception is a competing offer with a real deadline. That is information they need rather than a chase, and it frequently accelerates things. Our follow-up templates cover the wording for each stage.

Job adverts are deleted the moment a role is filled, often before your interview. Paste the full text in when you apply.

Interview preparation is far easier with the original requirements in front of you, and it is the only reliable way to see what they asked for versus what the interviewer emphasises on the day.

What the record tells you after thirty rows

Once you have some history, the tracker answers questions your instincts get wrong. Which source produced interviews rather than just applications. What proportion get any acknowledgement at all. Whether referrals are outperforming portals by enough to justify more outreach.

Most people discover their volume is fine and their source mix is wrong. That is invisible without the record, and it is the single most useful thing a tracker gives you.
