Resignation Email Subject Lines for Every Scenario
Twenty-four subject lines grouped by situation, from standard notice to a contract ending or an immediate exit, with a note on why each one works.

Twenty-four subject lines, grouped by what is actually happening. The default is boring on purpose, and the variations exist for situations where boring is not precise enough.
Standard notice
The plain forms. Use one of these unless something below fits better.
- Resignation, Amelia Osei
- Resignation, Amelia Osei, Account Manager
- Notice of resignation, Amelia Osei
- Resignation, Amelia Osei, last day 19 June
- Formal notice of resignation, A. Osei
The name matters more than the word. A manager who runs forty people gets a subject line they can file at a glance, and the role is worth adding on a large team.
After a conversation
Where you have already spoken, the subject can say so, which softens it without hiding it.
- Confirming our conversation, resignation, Amelia Osei
- As discussed: resignation and notice period
- Following up on today’s meeting, formal notice
These are for the same day, not a week later. A confirmation email that arrives long after the conversation loses the effect.
Extended or unusual notice
When the date itself is the surprising part, put it in the subject.
- Resignation, Amelia Osei, notice to 30 September
- Resignation, three months notice, Amelia Osei
- Resignation effective 1 October, Amelia Osei
Someone who reads “resignation” and assumes two weeks will plan around the wrong quarter. The date prevents that.
Short notice or immediate
The one case where the subject line has to carry urgency, because someone needs to act today.
- Resignation effective immediately, Amelia Osei
- Urgent: resignation, Amelia Osei, last day today
- Resignation with short notice, Amelia Osei
Do not use “urgent” for anything else in this list. It is doing real work here and it stops working if applied to a standard two-week notice.
A contract ending rather than a resignation
Different event, different subject line. Calling it a resignation invites an HR correction.
- Contract end date, Amelia Osei
- Contract not renewing, Amelia Osei, ends 30 June
- Confirming my final contract date
Retirement
Retirement gets its own vocabulary, and using it signals a different process on the HR side.
- Retirement notice, Amelia Osei
- Notice of retirement, effective 31 December
- Retirement, Amelia Osei, planned for year end
To HR rather than your manager
HR files by role and process, so give them both.
- Resignation notice, Amelia Osei, Account Manager
- Formal resignation for personnel file, A. Osei
- Resignation notice and final pay query, Amelia Osei
The third only if you genuinely have a query, and keep the query to one line in the body.
Asking for the conversation first
Before any of the above. This is the one subject line that should not mention resigning.
- Request for fifteen minutes tomorrow
- Quick meeting request, Amelia Osei
- Can we find fifteen minutes this week
Neutral rather than evasive. You are asking for a slot, not delivering the news, and the news belongs in the meeting.
What not to use
Five that fail, and the reason each one fails.
| Subject line | Why it fails |
|---|---|
| Moving on | Reads as a newsletter, gets filed unread |
| A quick note | Signals nothing, delays the notice period |
| Sad news | Suggests a bereavement before anyone opens it |
| Thank you for everything | Warm and completely uninformative |
| My future at Halloran | Sounds like a promotion request |
Why the boring one wins later
A subject line is a filing label, not a headline. Six months on, somebody in HR or a former colleague will look for this email by searching the mailbox, and Gmail’s own documentation on refining searches lists a subject: operator that finds messages by a word in the subject line. A message titled “Resignation, Amelia Osei” is findable by name and by term. One titled “A quick note” is effectively lost.
That is the practical argument for plainness, and it holds in every mail client, not only Gmail.

Name it plainly, add the date when it is unusual, keep urgent for genuine urgency. You can update your resume before you go.
Common questions
What should the subject line of a resignation email be?
Resignation followed by your name. It is unambiguous, it survives being forwarded, and it can be found later by anyone searching the mailbox for it.
Should I put my last working day in the subject line?
Only where the notice is unusual, such as an immediate exit or a date months away. For a standard two weeks it belongs in the first sentence instead.
Is it rude to put resignation in the subject line?
No. Softening it is the greater risk, because an ambiguous subject can sit unread for days, and a notice period that has not been read has not started.
What subject line do I use if I have not spoken to my manager yet?
Ask for a meeting under a neutral subject such as a request for fifteen minutes, then use a plain resignation subject for the written notice afterwards.
