What you get
How it works
What goes in a two weeks notice letter
A two weeks notice letter is short by design. It needs four things and nothing else: that you are resigning, your role, your last working day, and a line offering to help with the handover.
Everything people worry about adding is optional and usually better left out. You do not owe an explanation, a critique, or a paragraph about where you are going next. A 2 week notice letter is a record, not a conversation.
Work out your last day before you write anything
Count fourteen calendar days from the day you hand it over unless your contract says otherwise, then name that date explicitly. Writing effective two weeks from today creates an argument later about which day was meant.
Check your contract first. Some roles carry a longer notice period, and some sectors have conventions that exceed the standard. The letter should reflect what you actually owe, not the default.
Say it in person first where you can
The letter is the paperwork, not the news. Where a conversation is possible, have it first and hand over the letter of resignation immediately afterwards, so your manager hears it from you rather than reading it.
If you work remotely, a short call followed by the letter by email achieves the same thing. Sending a resignation email cold, with no warning, is what makes an otherwise ordinary exit feel abrupt.
Keep the tone neutral, even if the job was not
This document outlives the job. It goes in a personnel file, it can be read by people who were not there, and it is occasionally referenced years later when someone is asked for a reference.
So no grievances, no scoring points, no explanation of what finally decided it. If the relationship was difficult, a plain and unemotional letter is the strongest possible move, because it gives nobody anything to react to.
What to do in the two weeks that follow
Write the handover before you are asked for it. A short document listing what you own, where it lives and who should pick it up is what people actually remember about how you left.
- Document recurring tasks, access, and anything only you know how to do.
- Copy personal files you are entitled to keep, before access is revoked.
- Get personal contact details for colleagues you want to stay in touch with.
- Confirm final pay, holiday balance and any equity or pension detail in writing.
- Ask for a reference now, while your manager still has the detail fresh.
Common questions
Two weeks is standard. Kazifi phrases your date clearly whatever you choose.
You do not have to. Kazifi keeps it gracious and professional either way.
Four things: that you are resigning, your role, your last working day as an explicit date, and an offer to help with the handover. Nothing else is required.
Check your contract, since some roles require longer and some none at all. Two weeks is a convention rather than a universal rule, but skipping it affects references.
Count fourteen calendar days from the day you hand the letter over unless your contract says otherwise, then name that date. Effective two weeks from today causes arguments.
In person where possible, with the letter handed over straight afterwards. If you work remotely, a short call first and the letter by email does the same job.
