How to Write a Professional Resignation Email
The email as its own format: subject line, the four elements in the right order, and what changes when there is no letter to hand over.

A resignation email is not a letter pasted into a message box. It is read differently, arrives differently, and carries a subject line that a letter never needed.
The subject line is doing real work
Plain and specific: Resignation, [your name]. If your manager runs a large team, Resignation, [your name], [role].
Avoid softening language. A quick note, moving on, a change or catching up all risk the email sitting unread for days, and a notice period that has not been read has not started. The subject line is the one place where discretion costs you.
The order matters
Written English lets you build to a point. Email does not, because people read the first two lines and decide whether to keep going.
First line: the fact. Resigning, role, last day. All three.
Second: the handover. Concrete and brief.
Third: the close. One line of thanks.
If your first paragraph is context and your resignation appears in the third, it will be misread at least once, usually by someone who forwards it.
The email
Subject: Resignation, Alex Morgan
Dear Priya,
I am writing to give notice of my resignation from my role as Operations Coordinator. My last working day will be Friday 14 March.
I will document my current responsibilities and am happy to brief whoever takes them on. Let me know what would be most useful over the next two weeks.
Thank you for the opportunity to work here.
Best regards, Alex
Around 80 words. That is the right length, and adding to it does not improve it.
What changes when you work remotely
The conversation is easier to skip when it means booking a call, and skipping it is the most common remote resignation mistake.
Ask for fifteen minutes without saying why. Have the conversation. Send the email within the hour, so it arrives as documentation of something already said rather than as the news itself.
If your manager is in another time zone, send the email at the start of their working day rather than the end of yours. Nobody wants to read this at 6pm with no chance to respond.
Timing within the week
Earlier in the week is better than Friday, because it gives your manager time to think and to talk to HR before the week closes. A Friday afternoon resignation sits over the weekend and gathers weight it does not need.
Mid-morning is better than first thing, and considerably better than the end of the day.
What not to attach
Do not attach a grievance, a summary of things that went wrong, or a document explaining your reasoning. If any of that needs to exist, it is a separate conversation with HR, in a separate message, written later.
Do attach a formal letter if your handbook requires it. Otherwise the email is the record.
Keep a copy
Send it from an account you will still have access to, or copy your personal address. You may need the dates for a reference, a claim, or your own records, and access is often removed faster than people expect.

Common questions
How do I write a resignation email?
A plain subject line, then the same four elements as a letter: that you are resigning, your role, your last working day, and an offer to help hand over. Under 150 words.
What subject line should I use?
Resignation, followed by your name. Vague subject lines risk the email sitting unread, which undermines the notice period you are trying to start.
Should I attach a formal letter as well?
Only if your handbook asks for one. For most roles the email is the record. Where you do attach one, keep the email body short and let the letter carry the detail.
Who should I copy in?
Your manager as the recipient, HR only if the handbook says so. Copying wider colleagues turns a private notice into an announcement you no longer control.
