The six that decide whether it works
Three fields are mechanical. Six carry actual risk.
- Today’s date. The day you deliver it, which is what starts the notice clock.
- Your last working day. A named day and date. Count it on a calendar, not in your head.
- Your job title. The one on your contract, not the one you use in conversation.
- The manager’s name. Spelled the way they spell it, checked against an email signature.
- The handover task. The only sentence that is genuinely yours. See below.
- The organisation name. Written the way it appears on your contract, not the informal short form.
The handover line is the only real writing
Everything else is transcription. This sentence is where a filled-in template stops reading like one.
Weak, because it could be anyone: “I will help with the transition in any way I can.”
Strong, because it could only be you: “I will finish the Q3 supplier reconciliation and leave written notes on the two accounts still in dispute.”
Pick the one thing you currently hold that nobody else does. Name it. That is the sentence your manager remembers and the reason the letter reads as considered rather than downloaded.
How filled-in templates give themselves away
Four failures, in rough order of how often they happen.
Leftover placeholders. A single [date] or an unchanged [Manager's name] undoes the whole document. Search the file for [ before you send. If your template used a different marker such as XX or <name>, search for that too.
A stray detail from the template author. Templates written for a specific example sometimes leave a job title, a city or a company name behind in a sentence you did not read closely. Read the whole thing aloud once.
Inherited formatting. Pasting into a document you already had open brings the old font, the old margins and sometimes a header you cannot see on screen. Start from a blank document, or paste as plain text and then format.
Document properties. A file whose author, title or original filename belongs to somebody else is visible in the properties panel of most readers. Exporting to PDF from a clean document avoids the worst of it.
Word, Google Docs and the export
Write it wherever you like. Send a PDF.
In Word, use the export or save-as route Microsoft documents for saving or converting to PDF rather than printing to an image. In Google Docs, File then Download, choosing a file type, is the documented path for creating and downloading a file.
Export rather than screenshot or scan. A flattened image has no text layer, which means nobody can search it and a screen reader cannot read it, a point Section508.gov makes about accessible PDFs. Your resignation letter is a document that may be searched by name years from now.
Name the file so a stranger can file it: Resignation-Okonkwo-2026-06-24.pdf.
When a template is the wrong tool
Three situations where you should write from scratch instead.
If you are leaving immediately, the letter is three sentences and a template adds nothing. If the exit is contested or a lawyer may read it, the wording needs to be yours and considered. And if your relationship with your manager is genuinely close, one honest paragraph beats a filled-in form, though keep it to one paragraph.
