Job Application Email Templates for Six Cases
Copy-ready emails for a posted role, a referral, a recruiter reply, a follow-up, a speculative approach and a reapplication, each with the line to change.

Six emails you will actually need to send, each ready to adapt. All assume a plain findable subject line, since mail clients search subject lines and a vague one loses your application weeks later. Gmail documents a subject: operator in its guidance on refining searches.
1. Applying to a posted role
The default. Cover letter attached, so the email is short.
Subject: Operations Manager application, Tomasz Wieczorek
Dear Hiring Team,
I am applying for the Operations Manager role. My resume and cover letter are attached.
The short version: I took a supplier base from 40 vendors to 12 across eight months last year, which is the project your posting leads with.
Thank you for considering my application.

Change: the short-version line. It has to name something from the posting. An email that only says “please find attached” wastes the one thing that definitely gets read.
2. Applying with a referral
The strongest version of an application email, and the name goes first.
Subject: Operations Manager application (referred by Priya Raghunathan)
Dear Adaeze Nwankwo,
Priya Raghunathan suggested I apply for the Operations Manager role. We worked together on the supplier consolidation at Halvorsen last year.
My resume and cover letter are attached. Priya said she would mention it to you, so this may not be a surprise.

Change: the last clause of paragraph two, and only include it if it is true. Ask Priya before using her name, and be accurate about how you worked together.
3. Replying to a recruiter
Where most people go wrong by being vague about availability.
Subject: Re: Operations Manager opportunity
Hello Marcus,
Thanks for reaching out. Yes, I am interested and open to hearing more.
To answer your questions: I am currently at Halvorsen Foods as Operations Manager, my notice period is four weeks, and I am looking in the Denver area or remote. My resume is attached.
I can talk Wednesday before 11am or any time Thursday. Happy to work around you if neither suits.

Change: the time slots. Offer two specific windows rather than saying you are flexible, which puts the scheduling work back on them and adds days.
Answer their actual questions in the order they asked. Recruiters are usually filling a form.
4. Following up on silence
One follow-up, ten working days, replying to your own original so the thread carries everything.
Subject: Re: Operations Manager application, Tomasz Wieczorek
Dear Hiring Team,
I applied for the Operations Manager role on 3 October and wanted to check whether the process is still open.
I remain interested and am happy to provide anything further that would help.

5. Speculative, no posting
Different job entirely: this has to create an opening rather than answer one.
Subject: Boulder facility, supplier side
Dear Adaeze Nwankwo,
You opened the Boulder facility in March, which from the outside looks like it doubles your inbound volume on the same supplier base.
I ran the equivalent transition at Halvorsen last year, going from 40 suppliers to 12 through a second-site opening with no stockouts. I am moving to Denver in March.
I am not writing about a specific vacancy. Would you have fifteen minutes to talk about how you are handling the supplier side, whether or not anything is open?

6. Reapplying after a rejection
Legitimate, common, and better done openly than quietly.

Dear Hiring Team,
I applied for this role in March and was not selected. I am applying again because the posting has reopened and two things have changed: I have since completed the multi-site consolidation I was midway through, and I have relocated to Denver.
My updated resume and cover letter are attached.
Thank you for considering my application again.

Change: the two things that have changed. If nothing has, do not send this. Reapplying with an identical application invites the same answer and uses up goodwill.
Naming the previous application is better than hoping nobody notices, because applicant records persist.
The rules across all six
Attach first, write second. The forgotten attachment is eliminated entirely this way.
Name your files for a stranger. Resume-Wieczorek-Operations.pdf. Yours will land in a folder with forty others.
One recipient. Copying several people at the same organisation makes an application feel like something being monitored.
Personal email address, based on your name, and no employer footer or quotation in the signature.
Send during working hours in their time zone.
One caution on replies
If a response asks for identity documents, bank details or any payment before an interview or offer, treat it as the pattern the FTC describes in its guidance on job scams. Verify against the company’s own published contact details rather than the ones in the email.

What do I write in an email applying for a job?
The role, one specific reason you fit, a note that documents are attached, and thanks. Three or four sentences when a cover letter is attached, slightly more when it is not.
How do I reply to a recruiter who contacted me?
Answer their actual question first, confirm interest in one sentence, and offer two concrete time slots. Vagueness about availability is what stalls recruiter conversations.
Can I reapply for a job I was rejected from?
Yes, if the posting has reopened or a similar role exists and something about your application has changed. Say plainly that you applied before and name what is different now.
