Business Analyst Resume Guide
Business analyst covers at least four different jobs. How to identify which one a posting means, and the evidence each version is screened on.

Business analyst is one of the least standardised titles in professional work. Four distinct jobs share it, and applying to one with a resume written for another is the most common failure.
Work out which BA the posting means
Read what it lists first.
Process improvement. Mapping how work happens, finding waste, redesigning. Evidence: cycle times, error rates, cost, headcount redeployed.
Systems and IT delivery. Requirements for software projects, working with developers, testing, migration. Evidence: projects delivered, requirements quality, defect rates, stakeholder counts.
Data and reporting. Building reporting, defining metrics, answering business questions with SQL. Evidence: reports built, decisions supported, adoption. Closer to the data science resume guide.
Product-adjacent. Discovery, user stories, backlog work alongside a product manager. Evidence: features shipped, discovery outcomes.
Then lead with the matching version. The O*NET profile for management analysts covers the general occupational vocabulary, which is useful when a posting uses terminology from a different tradition.
Outputs are not outcomes
The single biggest weakness in BA resumes.
Weak: Gathered and documented business requirements, produced BRDs and process maps, facilitated stakeholder workshops, supported UAT.
Every one of those is an activity that a BA performs by definition. None says anything happened.
Strong:
- Mapped the claims intake process across three sites and redesigned it, cutting average handling from 9 days to 4
- Wrote the requirements for the supplier portal now used by roughly 400 suppliers, replacing an email and spreadsheet process
- Found a duplicate-payment gap in the invoice workflow that had cost about $120k over two years, and specified the control that closed it
- Ran discovery with 22 stakeholders across finance and operations, which killed a proposed integration and saved an estimated six-month build
Note that the fourth one is a project not happening. Stopping bad work is a genuine BA achievement and almost nobody claims it.
Use real figures or describe the change without one.
Adoption is the persuasive measure
Underused and unusually convincing.
A requirements document nobody built from, or a report nobody opens, is a deliverable rather than a result. If what you specified is actually in use, say so and say by how many people.

That sentence answers the question a hiring manager is actually asking, which is whether your work sticks.
Scope and stakeholder complexity
The calibration signal for this role, in the way scale is for engineering.
Useful detail: number of stakeholders and their seniority, number of functions or sites involved, project budget, size of the system or user base, whether you worked across a regulatory boundary.

A BA who has coordinated 20 stakeholders across three functions is demonstrably different from one who supported a single team, and the title conceals it entirely.
Tools and methods
Name them, grouped, and only what you have genuinely used.
Analysis and modelling: BPMN, process mapping tools, Visio, Lucidchart, use case and user story writing. Data: SQL, Excel to a real level, Power BI, Tableau, Looker. Delivery: Jira, Confluence, Azure DevOps, and whether you worked in Agile, waterfall or a hybrid. Domain systems: the ERP, CRM or core platform you worked on, by name. This is often the strongest filter, since domain system experience is scarce.
SQL is worth being specific about. It separates BAs who can answer their own questions from those who must queue for an analyst, and employers increasingly screen on it.
Certifications
If you hold one, list it near the bottom with the issuing body. In larger organisations and in consultancies they help pass an initial filter. They rarely decide an outcome on their own, and no certification substitutes for a bullet showing something changed.
Moving into or out of the role
Into BA work is common from operations, support, finance or as a subject matter expert. The advantage is domain knowledge, which is the scarce half. Lead with a process you improved in your current role, even informally, and name the tools you have used. See how to change careers.
Out of BA work usually goes to product management, project or programme management, data analysis, or consulting. Each wants a different emphasis from the same history, which is an argument for keeping a full record of your projects with their outcomes.
Format
One page up to about eight years, two beyond. Plain and single column. Use a professional template and check the document against a specific posting in the ATS checker, since the title’s ambiguity means keyword matching matters more here than in most roles.
